Office 365 Frequently Asked Questions (FAQ)

Q. How do I access Office 365?

A. The link to the web interface can be found on the myAU portal, or you can click here

Q. What is my username and password?

A. The new system will use your current e-mail address as your username, and your active directory password. This is the same password you may already use for your Windows Desktop (your Windows password, not the Bitlocker password you enter on the black screen), Virtual Desktop (Citrix), file shares (files01, files02), the IT Help Desk Self Service Portal (ServiceNow) and the new Pulse Secure VPN.

Q. Who do I contact if I don't know my password?

A. Call the IT Help Desk at 1-800-788-9041 Ext 6405.

Q. Why do I see the following error when I click the attach button in Outlook web App(OWA)?

Something went wrong while connecting to OneDrive for Business. You can access OneDrive from the nav bar or from the app launcher.

A. This indicates you have not used your OneDrive yet. If you are trying to attach a local file you do not need to activate OneDrive, just click on the word Computer on the left side of this window. Even after you activate OneDrive you will still need to click Computer to access local files.

Q. Why don't I see all my Email/Calendar entries from Zimbra?

A. Due to the time required to move the huge amount of data stored in Zimbra, and some limitations in the capabilities of the migration tools, some items/settings in Zimbra will not have been copied to your Office 365 account before the release date. Some of these missing items will be copied in over the next several days, and others you will need to move manually. A breakdown of these items can be found below.

The following items from Zimbra will be in Office 365 at release:

  • Your email and folder structure as of about February 20, 2016. If you need to reply to a message that has not been migrated to Office 365 yet you will still be able to reply from Zimbra. After release any messages you send to an Office 365 user from Zimbra will arrive in their Office 365 account, not their Zimbra account. If anyone replies to email sent from your Zimbra account after release it will arrive in your Office 365 account, not your Zimbra account.
  • Your contacts as of about February 20, 2016.
  • Your tasks as of about February 20, 2016.
  • Note: Your calendar will be empty at release as we need to do the calendar move in a single pass to avoid creating duplicate meetings. You should start using the Office 365 calendar immediately after release for any new meetings, but you will need to check Zimbra for existing bookings until your calendar migration is complete.
The following items will be synced from Zimbra to your Office 365 account over the next several days after release:
  • Your calendar(s). (This will be given priority over the other items below.)
  • Your email since about February 20, 2016.
  • Your contacts since about February 20, 2016.
  • Your tasks since about February 20, 2016.
The following items will not be migrated automatically:

You will need to move the some items/settings from Zimbra if you want them in Office 365. Essentially this includes everything not listed above. Below is a list of some common things you might be using in Zimbra that will not be automatically migrated. Instructions on using these features can be found on our training website or Microsoft's Office 365 support website.

  • Signature
  • Mail Filters/Rules
  • Away Message
  • Any data in your Briefcase or Documents tab
  • Tags
  • Permissions (Calendar/Email Sharing and Delegation)

Q. Which web browser should I use with Outlook Web Access (OWA)?

A. While Microsoft recommends using Internet Explorer (IE) 11, nearly any recent web browser will work fine. We have tested with a number of popular web browsers including IE 9, Firefox and Chrome.

Q. How do I install the Office 365 suite (Word, Excel, Outlook, etc.) on my AU computer?

A. This should already be installed on your AU computer. If it is not please contact the AU IT Help Desk.

Q. How do I install the Office 365 suite (Word, Excel, Outlook, etc.) on my personal computer?

Q. How do I book a meeting room?

A. When you create your meeting simply set the start and end times, then enter the room as the location. You can search for available rooms with the 'Find Room' button. Do not book departmental rooms, those ending in DEPARTMENT NAME Only, without prior approval. The room should send a message accepting or declining your booking request automatically.

Q. Can we moderate our departmental meeting room?

A. If you would like to have one or more moderators for your departmental room please put in a request with the IT Help Desk. Please keep in mind moderated rooms require approval for all meeting requests, including those that come from members of your department.

Q. Why can't I find the 'reply to' option in Outlook Web App (OWA)?

A. Outlook web app does not support this feature. You will need to use a full client (like Outlook) to use 'reply to' functionality.

Q. Can I use both Outlook Web App (OWA) and a full client?

A. Yes, this works fine. For example you may use the full Outlook client on your AU work computer, and use OWA if you check your mail from your personal computer. You might also have Outlook installed on your iPhone, but use OWA on your computer.

Q. Why do I suddenly have everyone at AU in my mobile device's contact list?

A. If you use the the built in client on some mobile devices, including iOS devices like iPhones and iPads, it loads the entire Office 365 global address book into your contacts. This is one of the reasons we recommend the Outlook app for most mobile devices.

Q. Why is my Retention policy under Settings set to '1 Month Delete', will all my email be deleted after 30 days?

A. This setting only applies to mail in your 'Deleted Items' folder.

Q. Can I adjust how often my autoreply is sent?

A. In outlook web app (OWA) the autoreply is sent to each individual sender email address only once per day, and this is not configurable.
